As a Toledo Jeep Fest vendor, you’ll have the opportunity to put your products and services directly in front of thousands of passionate Jeep enthusiasts from across the country and beyond. Find out exactly what you need to know to be successful in 2027 in Toledo, Ohio.

REGISTRATION & APPLICATION

  • Toledo Jeep Fest vendor registration opens January 2027.
  • Vendor space is limited, so we encourage businesses to register as early as possible.
  • No. Submitting a registration does not guarantee approval or a specific booth location.
  • All vendors are subject to review and approval by Toledo Jeep Fest. We reserve the right to decline applications that do not fit the event, conflict with existing sponsors or partners, create a category conflict, or otherwise do not meet event requirements.
  • Vendor applications are reviewed as they are received. Once your application has been reviewed, Toledo Jeep Fest will communicate your approval status and provide next steps.
  • Yes. We welcome new vendors. Vendor approval is based on the overall fit of your business, products or services with Toledo Jeep Fest, available space and other event considerations.
  • Yes. Approved vendors may sell products and services from their designated booth space, provided those products and services comply with Toledo Jeep Fest policies and applicable laws.
  • Yes, promotional giveaways and samples are generally permitted within your assigned vendor space. Certain items may require advance approval or additional considerations for safety, sanitation or distribution.
  • If you are planning a large-scale giveaway, activation or promotion, contact the vendor team before the event.

BOOTH SIZES & SPACE

  • Available booth sizes and pricing are presented during the registration process. Options may vary depending on the vendor location.
  • Your registration will identify the available booth options for the location you select.
  • Yes. Select the booth size that best fits your needs during registration. Please provide an accurate description of everything you plan to place within your space, including:

    + Tents
    + Vehicles or Jeeps
    + Trailers
    + Product displays
    + Tables
    + Structures
    + Signage
    + Other equipment
  • This information helps us determine appropriate space assignments and plan the vendor footprint.
  • In many cases, yes. However, vehicles count toward your overall footprint and must be disclosed during registration.
  • No. Your tent and other equipment must fit within your assigned footprint unless you have received prior approval for additional space.
  • If you’re unsure whether your setup will fit, contact the vendor team before registering.
  • We discourage this, but yes, shared booth arrangements are permitted with approval.
  • A 25% shared booth fee applies to approved shared booth arrangements.
  • Both businesses must comply with Toledo Jeep Fest vendor requirements, and the shared arrangement must be disclosed during registration.
  • Yes, subject to availability. Businesses requiring a larger footprint should select the appropriate booth configuration during registration.
  • If your setup requires a custom footprint, multiple vehicles or a larger activation, contact the vendor team before registering.

VENDOR LOCATIONS

  • Toledo Jeep Fest vendor opportunities are available in multiple locations throughout the festival footprint, including the outdoor Vendor Midway and the indoor Glass City Convention Center.
  • Each location offers a different experience and may have different booth sizes, pricing, operating requirements and amenities.
  • You may indicate your preferred vendor location during registration, subject to availability.
  • Selecting a location does not guarantee a specific booth assignment.
  • You may submit a location request, but specific booth numbers and locations are not guaranteed.
  • Assignments are based on a variety of factors, including:

    + Premier vendor status
    + Registration date
    + Booth size
    + Available space
    + Event layout
    + Operational requirements
    + Overall event planning considerations
  • We make every effort to accommodate returning vendors when possible, but previous booth locations are not guaranteed.
  • The festival footprint, vendor mix and event layout can change from year to year.
  • No. Vendors may not relocate, expand or alter their assigned footprint without approval from Toledo Jeep Fest staff.
  • This helps maintain safe and consistent event operations.

VENDOR APPROVAL & EVENT POLICIES

  • Toledo Jeep Fest reserves the right to decline applications for a variety of reasons, including:

    + The business or product is not a good fit for the event
    + A category is already adequately represented
    + The application conflicts with an existing sponsor or partner
    + The proposed activation creates operational or safety concerns
    + The vendor does not meet event requirements
    + Available space is limited
  • Approval decisions are made at the discretion of Toledo Jeep Fest.
  • Yes. Toledo Jeep Fest may limit or restrict vendors within certain product or service categories to maintain a balanced vendor marketplace and protect existing sponsors and partners.
  • Registering early does not guarantee approval if your category is already at capacity.
  • Products and services should be accurately represented during registration.
  • If you plan to add a significant new product line, service or activation, contact Toledo Jeep Fest for approval before the event.
  • Certain vendor activities, locations or equipment may require proof of insurance or additional documentation.
  • Any applicable insurance requirements will be communicated as part of the vendor process.
  • Yes. Certain equipment may be subject to safety, fire, electrical and location-specific requirements.
  • Vendors are responsible for accurately reporting their equipment needs during registration and complying with all event requirements.

SPONSORSHIP OPPORTUNITIES

  • A vendor purchases event space to showcase and/or sell products and services directly to attendees.
  • A sponsor receives additional marketing, branding and promotional opportunities in exchange for a sponsorship investment.
  • Businesses may have the opportunity to participate as both a vendor and a sponsor.
  • Sponsorship level is one of several factors considered when assigning vendor locations.
  • Sponsors and premier vendors may receive priority consideration for placement, but no specific booth location is guaranteed.
  • Yes. Sponsorship opportunities are available for businesses looking for greater visibility and deeper engagement with the Toledo Jeep Fest audience.
  • Yes. Combining sponsorship with a vendor presence can provide both broad event exposure and an opportunity to interact directly with attendees.
  • Sponsorship opportunities vary from year to year and may include event-wide branding, individual event sponsorships, digital exposure, signage, promotional opportunities and other customized activations. Email us to learn more. [email protected].

FOOD VENDORS & ENTERTAINMENT

  • Food vendor opportunities are limited and subject to a separate application and approval process.
  • For 2027, the food vendor roster may be full. Businesses interested in participating should submit a request to be considered for the waiting list.

  • Entertainment opportunities are managed separately from traditional vendor registration.
  • If you are interested in performing at Toledo Jeep Fest, submit an entertainment inquiry.
  • SUBMIT AN ENTERTAINMENT REQUEST

EVENT OPERATIONS

  • Approved vendors will receive detailed setup information, including designated load-in dates, times and procedures, before the event.
  • Vendors must follow their assigned load-in schedule.
  • Vendor breakdown may not begin until Toledo Jeep Fest has officially ended on the final day of the event.
  • Early breakdown can create safety concerns and negatively affect the attendee experience.
  • Early teardown or departure may result in loss of future vendor privileges and/or other consequences under the vendor agreement.
  • No, it is not provided. We can try to accommodate upon request. Electrical availability varies by vendor location and booth configuration. Any electrical requirements should be identified during registration. Additional fees or requirements may apply.
  • No, we discourage it. Generators may be permitted in certain locations but are subject to event, fire and safety requirements.
  • If you plan to use a generator, disclose it during registration and follow all applicable requirements.
  • Yes, please do bring your own. Toledo Jeep Fest does not provide. All equipment must remain within your assigned footprint and meet applicable safety requirements.
  • Wi-Fi availability can vary by location. Vendors should plan to have their own connectivity solution if reliable internet access is essential to conducting business.

BEFORE YOU REGISTER

  • Before beginning registration, be prepared to provide:

    + Business name and contact information
    + Business website and social media information
    + Description of your products or services
    + Desired vendor location
    + Desired booth size
    + Number and size of tents
    + Vehicle information
    + Electrical or equipment requirements
    + Any special activation or display requirements.
  • Start with your planned footprint.
  • Consider the size of your tent, vehicles, displays, tables, merchandise and customer interaction area.
  • If you’re still unsure, contact the Toledo Jeep Fest vendor team before registering.
  • Some registration information may be changed before final assignments are made, subject to availability and approval.
  • Contact the vendor team as soon as possible if your plans change.
